Sales Management
Track deals, pipeline stages and the next step for each deal.
Review a deal before changing it
Choose a task first. Use an account with access to that feature in the active organisation; each linked procedure lists its prerequisites.
Check the result: You can identify the deal, its recorded stage and quotation state before making a change.
If you get stuck: If a deal or quotation is missing, check the organisation, customer and filters. Follow the quotation procedure for sending and revisions; creating a draft does not send it.
Create and find deals
Screen: /opportunities
Use case: Track a deal against an existing customer.
Before you begin: Use an account with access to this feature in the correct organisation.
How to do it
- Open Customers → Deals. Four tiles across the top read Open deals, Open pipeline value, Won this month and Won value this month; the table below lists Title, Customer, Stage, Amount, Days in stage, Expected close and Owner.
- Use Filters, or search title, customer or owner and sort by a column heading, to find the deal.
- Choose Create Deal. Select the customer, enter name, estimated amount, stage, priority, expected close date, next step and next-step due date.
- The creation amount field is in CNY ten-thousands: 10 means ¥100,000. Leave it blank when unknown; do not invent an estimate.
- Create, then open the deal to verify its customer and values. In detail inspect contacts, communications, documents, notes and quotations; edit or mark won/lost only when justified.
Expected result: The deal has an owner and context, stage and next action with correctly interpreted amounts, and appears in the Deals list and its tiles.
The list and its tiles were read; the blank creation form was inspected without creating a deal. Details and state changes are source-confirmed.
Move and inspect the sales pipeline
Screen: /pipeline
Use case: See deal distribution and update the right stage.
Before you begin: Use an account with access to this feature in the correct organisation.
How to do it
- Open Customers → Sales Pipeline and search title, customer or owner. Read the four headline figures: Pipeline value, Open deals, Average deal size and Win rate.
- Open a card to inspect the deal before changing its stage. The stage columns run Inquiry, Needs confirmed, Quoted, Sample sent, Sample evaluation, Negotiation and Won, plus Lost and any stage the organisation has added; each card shows its customer, amount, sales owner and expected close.
- Drag the card into the intended column, or use the deal’s stage control. Moving a card commits a real stage change; use Won/Lost only for a real outcome.
- Check the resulting stage and any required next-step/outcome fields. If the move fails, refresh the record and inspect the error before retrying.
Expected result: The board reflects the intended sales stage, and the four headline figures update with it.
The board was read only; no card was moved. There is no separate global Quotations item in the navigation: open a deal's own Quotations tab instead.
Deal quotations and revisions
Screen: /opportunities/:id
Use case: Prepare a quotation and record its lifecycle accurately.
Before you begin: Use an account with access to this feature in the correct organisation.
How to do it
- Open a deal and select its Quotations tab, then Create quotation. Enter currency, valid-until date, payment terms and notes.
- Add line items with product/description, quantity, unit price and discount (0–100%). Check totals and Save.
- The Quotations tab lists Number/version, Status, Amount, Valid until and Created for each quotation, with amounts shown in whole yuan, not the ten-thousands unit used when creating the deal itself.
- Open the quotation to review or Edit draft details. Mark sent records its status only: deliver the quotation through your approved channel separately.
- Use Mark accepted or Mark rejected for the customer's actual decision. Use Create revision when terms change; a new version number appears in Number/version and past terms stay in the history instead of being overwritten.
Expected result: Quotation terms and revisions remain traceable in the deal's own Quotations tab; a status label is not proof of delivery, and amounts read correctly because they are whole yuan.
There is no separate global Quotations menu item; every quotation is reached from the deal that owns it. This walk read a live example (Q-2026-0018 v1, status Sent) and checked the workflow against deployed source; no quotation was created, sent or changed. The deal creation form itself was not opened; its ×10,000 CNY (万元) amount unit is confirmed from the deployed interface text, not from a screen in this walk.
Organisation owners, admins and managers can configure deal stages in Knowledge → Sales & CRM. Untouched default pipelines gain Sample sent and Sample evaluation; customised pipelines retain their configuration.
Study scope and screenshot provenance
Procedures verified on staging atlas.staging.forth.ai, 22 September 2026, web build 027732e (ref staging), signed in as an owner, an admin, a manager and two reps of one ordinary organisation. That walk was read-only: no decision was accepted, rejected or dismissed, no message was sent or retried, no record or setting was saved, and no paid agent run was started. Visibility differs by role and release settings; sections that need a platform-operator account say so and were not re-observed. Staging advanced from web build c848b7e to 027732e during the walk; the Today screenshots and every quoted Today wording come from 027732e, and the only difference between the two builds is on Today (singular overdue wording, a dropped tier label and a sort fix). Screenshots dated 2026-09-07 come from the earlier production study of atlas.forth.ai at web revision 0af15ad and are kept where the screen is unchanged; screenshots dated 2026-09-22 are staging. One sender address was masked. Destructive, financial and sending procedures are described from the deployed source and were not executed.
